METBooker · Legal
Data Processing
Agreement
This Data Processing Agreement (“DPA”) governs how METBooker processes personal data on behalf of business customers (landlords, property managers and operators) using the METBooker platform, in accordance with GDPR, the Data Protection Act 2018 and, where applicable, the EU GDPR.
You — Our Customer
The business, landlord or operator who has signed up to METBooker and decides what tenant or guest data is collected and why.
METBooker
Operates the booking platform and processes personal data only on your documented instructions, as set out in this DPA.
Definitions
Capitalised terms not defined here have the meaning given in the GDPR. For ease of reading:
- Customer / Controller
- The business entity contracting with METBooker.
- METBooker / Processor / We
- The operator of the metbooker.com platform.
- Data Subject
- An individual whose personal data is processed — typically your tenants, guests, prospective customers or staff.
- Personal Data
- Any information relating to an identified or identifiable individual processed via the platform.
- Sub-processor
- A third-party service we engage to help deliver the platform (listed in section 6).
- SERMI Records
- The optional METBooker add-on for keeping the record of ownership, identity and authority checks that the SERMI scheme requires before security-related work on a vehicle.
Roles & scope
You are the data controller. You decide what data is collected from your tenants, guests or staff, and the purposes of that collection. METBooker is the data processor. We process personal data only:
- To provide the booking, calendar and payment-routing features you have enabled in your account;
- On your documented instructions (your account configuration and this DPA constitute those instructions); and
- As required by applicable law — in which case we will tell you unless legally prohibited from doing so.
This DPA forms part of, and is incorporated into, our main Terms & Conditions. If there is any conflict on data-protection matters, this DPA prevails.
What data we process
We only store the categories of personal data needed to operate the booking platform on your behalf. We do not store payment card numbers, CVCs or expiry dates — these are handled directly by your chosen payment provider.
| Category | Examples | Source & storage |
|---|---|---|
| Identity & contact | Name, email, phone number, postal address (where supplied) | Provided by data subject or imported by you; stored in Firestore (region europe-west2). |
| Booking details | Property/unit, dates, times, notes, party size, special requests | Created via the booking flow; stored in Firestore. |
| Authentication | Anonymous Firebase user ID (customer-side); Google account identifier (admins only) | Issued by Firebase Authentication. |
| Payment metadata | Provider transaction ID, amount, currency, status, last 4 digits (where returned by provider) | Returned by your chosen payment provider and stored against the booking. METBooker does not select or control which payment provider you use — you connect your own merchant account. Card numbers are never stored. |
| Vehicle details | Registration number, make, model, year, fuel type (where used) | Entered by the data subject and verified in real time against the DVLA Vehicle Enquiry Service API. The registration number is encrypted at rest as PII. Only collected if you enable the vehicle lookup feature. |
| Security work records (SERMI Records add-on only) | Vehicle registration and VIN; registered keeper’s name and address and V5C issue date; name of the person presenting the vehicle; type and number of the photo ID shown; their authority for the work; the work and its reason; the technician; declarations and signature; a refusal reason and police reference where the work is refused; optionally, photos of the VIN plate, V5C or photo ID; DVLA check results | Entered by your staff at the counter, or by the vehicle’s keeper through a one-time pre-arrival link you choose to send. Stored in Firestore (europe-west2); photos in Cloud Storage (europe-west2). Personal fields are encrypted at rest (section 9). A signed record is sealed so that any later change is detectable. Only collected if you subscribe to SERMI Records. |
| Calendar data | Event title, start/end, attendees you choose to include | Synced to your Google Calendar or Microsoft 365 calendar via service account or OAuth, on your instruction. |
| Communications | Email subject, recipient, send timestamp, delivery status | Sent via Gmail (Google Workspace) or Microsoft 365, depending on which integration you have configured; metadata logged for audit. |
| Billing data (tenant accounts only) | VAT registration number (GB format), company name as returned by HMRC | Entered by you as the account holder and validated against the HMRC VAT API. The VAT number is encrypted at rest. The HMRC-returned company name is stored in plaintext for display in your account and billing records. This data relates to your business, not to your end users. |
| Technical data | IP address, device/browser type, log timestamps | Cloud Functions and Firebase logs, retained for security. |
METBooker never sees, transmits or stores raw card details. You connect your own merchant account with your chosen payment provider (supported providers include Stripe, Airwallex, Square, Dojo, SumUp and Dodo Payments), and your customer’s card data flows directly to that provider over their PCI-DSS-compliant infrastructure.
Why we process it
Processing is limited to what is necessary to provide the platform to you. We process personal data to:
- Take, confirm, modify and cancel bookings;
- Route payments through your chosen provider and reflect their status in your dashboard;
- Send transactional emails (confirmations, reminders, receipts) on your behalf;
- Sync events with your nominated Google Calendar or Microsoft 365 calendar;
- Authenticate users and protect against abuse, fraud and unauthorised access;
- Validate your VAT registration number against the HMRC VAT API and store your company name for billing and audit purposes;
- If you subscribe to SERMI Records: keep, seal and export the security work records you create; read the text on VIN-plate and V5C photos when your staff use the scanner; check with DVLA whether a newer V5C has been issued or the vehicle is marked for export; and send the pre-arrival link and the reminders you have switched on;
- Provide support, debug issues, and maintain platform reliability;
- Comply with legal obligations (e.g. tax and accounting records where applicable).
We do not sell personal data, and we do not use the personal data of your tenants or guests to train AI models or to advertise.
How long we keep it
Retention periods are aligned with the purpose of processing. As a controller you may set shorter periods for your own account.
| Data | Default retention | Trigger / notes |
|---|---|---|
| Active booking records | For the life of your account | Available in your dashboard; you can delete on demand. |
| Past bookings | 6 years after booking date | Aligned with the UK Limitation Act 1980 contractual limitation period. Then automatically anonymised (see below). |
| Automatic PII anonymisation | After 6 years | A nightly background process permanently anonymises personal fields (name, email, phone, address, vehicle registration) in booking and payment records once the 6-year retention window expires. Financial fields (date, amount, transaction reference, service) are retained for accounting compliance but no longer identify any individual. |
| Payment metadata | 7 years | To meet tax and accounting obligations (HMRC). PII within payment records is anonymised at the same time as the linked booking record. |
| SERMI security work records (signed or refused) | 6 years from the work date, or from the date the work was refused | A nightly process then permanently removes the personal fields and photos; the seal chain still verifies. Kept for this period even if the data subject asks for erasure, under UK GDPR Article 17(3)(e) (see section 10). |
| SERMI draft records (never signed) | 90 days without changes | Then deleted with their photos. |
| Email send logs | 12 months | For deliverability troubleshooting. |
| Authentication / access logs | 13 months | Security and abuse monitoring. |
| Backups | Up to 35 days | Encrypted, then purged on rolling cycle. |
| Account closure | 7 days’ notice, then deleted | Your Super Admins are emailed a download link when your account is marked for deletion, and again the day before. A final download is made before anything is deleted (section 15). |
| Final download after closure | 90 days after deletion | Available to your former Super Admins, who are reminded by email before it expires. Then deleted. |
Sub-processors
We engage a small number of carefully selected sub-processors to deliver the service. Each is bound by written contractual obligations consistent with this DPA. By accepting this DPA you give general authorisation for the sub-processors below; we will give reasonable notice of any addition or replacement.
Google Cloud / Firebase
Hosting, Firestore database, Cloud Functions, authentication, logs.
Google Calendar API
Calendar sync via service account — used when you connect your Google account.
Gmail (Google Workspace)
Outbound transactional email — used when you configure Gmail as your email provider.
Microsoft 365 / Graph API
Calendar sync and outbound transactional email — used when you connect your Microsoft 365 account instead of Google.
Google Secret Manager
Secure storage of API keys, credentials and the application encryption key.
Google Cloud Vision
Reads the text on VIN-plate and V5C photos when your staff use the SERMI Records scanner. Photos are processed in memory and not stored by Google. Only used if you subscribe to SERMI Records and use the scanner.
DVLA Vehicle Enquiry Service
Real-time vehicle registration lookup — used when you enable the VRM lookup feature. The registration number is sent to the DVLA API; make, model, year and fuel type are returned. With SERMI Records, the same service is used to check the latest V5C issue date and export marker; only the registration number is sent.
HMRC VAT API
Validation of VAT registration numbers entered by you as the account holder. Company name is returned and stored for billing purposes.
Stripe
Payment processing where you connect a Stripe merchant account.
Airwallex
Payment processing where you connect an Airwallex merchant account.
Square
Payment processing where you connect a Square merchant account.
Dojo
Payment processing where you connect a Dojo merchant account.
SumUp
Payment processing where you connect a SumUp merchant account.
Dodo Payments
Payment processing where you connect a Dodo Payments merchant account.
GitHub
Source code and deployment automation. No customer or end-user data is stored here.
Payment providers are connected by you as the customer using your own merchant account — METBooker does not select, operate or control which provider you use or the region in which it processes data. Each payment provider acts as an independent controller for the card and KYC data they collect directly from your customers. Their privacy notices govern that processing.
International transfers
Application data is hosted in the United Kingdom (Google Cloud
europe-west2). Some sub-processors (e.g. Stripe, Square,
GitHub) may process limited operational data outside the UK/EEA.
Where they do, transfers rely on one or more of:
- UK and EU adequacy decisions, where available;
- The UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses; and
- Supplementary technical measures (encryption in transit and at rest, access controls).
Photos read by Google Cloud Vision (SERMI Records scanner) are sent to its European Union endpoint, which the UK recognises as adequate.
Security measures
We take appropriate technical and organisational measures to protect personal data, including:
- TLS 1.2+ encryption for all traffic to and from the platform;
- Encryption at rest for Firestore, backups and Secret Manager;
- Application-layer encryption of PII fields using AES-256-GCM (see section 9);
- Least-privilege access, with admin sign-in restricted to Google Sign-in for authorised METBooker staff;
- Secrets (API keys, app passwords, service-account credentials and the encryption key) stored only in Google Cloud Secret Manager — never in source control;
- Separation of
metbooker-stagingandmetbooker-productionenvironments; production deploys require explicit instruction; - Cloud Functions logs and Firestore audit trails for security review;
- Regular dependency updates and review of third-party libraries.
Encryption of PII
In addition to the storage-level encryption provided by Google Cloud,
METBooker applies application-layer encryption to personally
identifiable fields before they are written to Firestore. The cipher
is AES-256-GCM. The encryption key is held in
Google Cloud Secret Manager (europe-west2) and
is accessible only to authorised METBooker Cloud Functions — it is
never exposed to the application frontend or stored in source
control.
This means that even with direct database access, encrypted PII is not legible without the active key material from Secret Manager. Every decryption operation occurs inside a Cloud Function and is covered by Cloud Functions logging.
| Field | Encrypted? | Reason |
|---|---|---|
customerName | ✅ Yes | Direct PII |
email | ✅ Yes | Direct PII |
phone | ✅ Yes | Direct PII |
address | ✅ Yes | Direct PII |
vehicleReg | ✅ Yes | Linkable to identity |
billing.vatNumber | ✅ Yes | Business identity data; encrypted for tenant account holders |
| SERMI record personal fields: registration, VINs, keeper name and address, presenter name, ID number, company and contact details, authority details, work notes, signature, refusal details and police reference | ✅ Yes | Direct PII, or linkable to identity |
serviceId, date, amount | ❌ No | Operational fields needed for queries, scheduling and reporting; not directly identifying on their own |
billing.vatCompanyName | ❌ No | Company name returned from HMRC; stored in plaintext for display in billing records and admin console |
Because encrypted values are not directly queryable, the SAR tool described in section 10 locates records by decrypting and matching within a restricted, authorised Cloud Function context. Every such lookup is logged to the SAR audit trail with the admin UID, search terms and timestamp.
Subject Access Requests (SARs)
Because you are the controller, SARs from your tenants or guests should be raised with you in the first instance. Where you need our assistance — for example because relevant data is encrypted on the platform — the following workflow applies:
- The data subject (end user) raises the SAR with you, the business they booked with.
- You verify the requester’s identity and submit the SAR to METBooker support at dpa@metbooker.com.
- METBooker uses an internal SAR Tool to locate, return and (if instructed) delete the data.
- You forward the resulting export to the data subject within GDPR timescales (typically one calendar month).
SAR Tool capabilities
| Action | What the tool does |
|---|---|
| Search | Search by email address or name across all bookings. Returns a list of matches showing tenant name, booking date, service and a summary of data held. |
| View | Expand any result to see exactly what PII is held against that person — useful for confirming what will be sent in response to the SAR. |
| Export | Download all data for a given individual as JSON or PDF. This is the file that is provided to the data subject. |
| Delete | Soft delete first — the record is marked as pending deletion with a 30-day hold. A hard delete requires an explicit confirmation step and permanently removes the personal data from the booking and any linked payment records. |
| Audit | Every SAR action is written to the platform/sarLog audit trail with date, email/name searched, action taken and the admin UID that performed it. |
A search also finds any SERMI security work records about the person. A signed or refused record within its six years is not deleted on an erasure request: you need it to show that the security work was carried out properly and to defend any legal claim about it (UK GDPR Article 17(3)(e)). The response to the data subject lists each record kept, which business holds it, and the date it will be removed. Everything else is deleted as normal.
The SAR audit log is retained for the life of your account and is available to you on request. It provides documentary evidence of how each request was handled — useful if the ICO ever asks you to demonstrate compliance.
Data subject rights
Your tenants, guests and other data subjects have the following rights under the GDPR. Because you are the controller, requests should be directed to you in the first instance — but we will assist you in fulfilling them at no additional charge for reasonable volumes.
01Access
Confirm what personal data is held and obtain a copy.
02Rectification
Correct inaccurate or incomplete data.
03Erasure
Request deletion (the “right to be forgotten”), subject to legal exceptions.
04Portability
Receive data in a structured, machine-readable format (JSON / CSV).
05Restriction
Limit how data is used while a query is resolved.
06Objection
Object to processing on grounds relating to their situation.
07Withdraw consent
Where consent is the lawful basis, withdraw it at any time.
08Complain
Lodge a complaint with the Information Commissioner’s Office (ICO).
To assist you, we provide self-service export and deletion of any booking record, plus an account-level export on request to dpa@metbooker.com.
Your responsibilities
As the controller, you are responsible for:
- Having a lawful basis for the data you collect and store on the platform;
- Providing your own privacy notice to your tenants, guests and staff explaining how their data is used;
- Configuring the platform — fields, retention overrides, calendar sharing, payment providers — in line with your own policies;
- Managing access for your team members and revoking it promptly when staff leave;
- Responding to data subject requests directed to you, with our assistance where required;
- If you use SERMI Records: carrying out the ownership, identity and authority checks yourself, meeting the SERMI scheme’s rules, and telling the people whose vehicles you work on that you keep a security work record for six years. METBooker keeps the record; it does not carry out or verify the checks for you;
- Notifying us promptly of any actual or suspected security incident or personal data breach on your side — see section 13 for timescales and method.
METBooker is designed for business use. Do not upload special category data (e.g. health, biometric, political opinion) or children’s data without first contacting us — the platform may not be configured for those categories.
Breach & incident notification
13.1 — METBooker’s obligations to you
If we become aware of a personal data breach affecting your data, we will notify you without undue delay and in any event within 72 hours of confirming the breach. Our notification will include, where known: the nature of the breach, the categories and approximate number of individuals and records affected, the likely consequences, and the measures taken or proposed to address it.
13.2 — Your obligations to us
As controller, you are responsible for the security of your own systems, credentials and integrations with the platform. You must notify METBooker of any actual or reasonably suspected security incident or personal data breach that affects, or may affect, the METBooker platform or data processed through it.
| Requirement | Detail |
|---|---|
| Timescale | Without undue delay and in any event within 24 hours of becoming aware of the incident. This shorter window allows METBooker to assess platform-side risk ahead of any regulatory deadline you face. |
| Method | Email to security@metbooker.com with the subject line “SECURITY INCIDENT — [your account name]”. Where you believe the incident is ongoing or critical, follow up immediately by email to support@metbooker.com. |
| Content |
Your notification should include, as far as known at the time:
|
| Your ICO obligation | You remain solely responsible for meeting your own reporting obligations as data controller, including notifying the Information Commissioner’s Office (ICO) within 72 hours of becoming aware of a reportable personal data breach under UK GDPR Article 33. METBooker’s notification to you (section 13.1) does not substitute for that obligation, and your notification to us does not discharge it. |
METBooker’s security measures are designed in line with the principles of the UK Cyber Assessment Framework (CAF) and the NIS Regulations 2018, covering network and information system security, access control, data security, and incident detection and response. While METBooker is not itself designated as an operator of essential services under NIS, we apply equivalent controls and expect customers operating in regulated sectors to reflect their own NIS or sector-specific obligations in the timescales and procedures they follow when notifying us.
Audit & cooperation
We will make available all information reasonably necessary to demonstrate compliance with this DPA. Once per year, on 30 days’ written notice, you (or an independent auditor on your behalf bound by confidentiality) may audit our processing. We may satisfy audit requests by providing third-party certifications and attestations of our infrastructure providers (e.g. Google Cloud / Firebase).
Termination & deletion
You can download a complete copy of your data at any time from Settings, Account data export, in your admin console. We also email your Super Admins once a year reminding them to do so.
When your METBooker account is to be closed, we mark it for deletion and email your Super Admins a link to download a copy of your data. The account and the personal data processed on your behalf are deleted 7 days later, on the date given in that email. We send a final notice the day before. If you reply before that date, for example to extend a trial or to reactivate, we can cancel the deletion.
Before anything is deleted we make a final download of your account. If it cannot be made, nothing is deleted. The final download is kept for 90 days after deletion. Your former Super Admins can download it by signing in with the Google account they used for METBooker, and we remind them by email before it expires. After 90 days it is deleted.
We keep, after deletion, only what we need for tax and legal purposes: a record that the account existed and was deleted, with your business name and billing references. Your former Super Admins’ email addresses are removed from that record 30 days after the final download period has ended. Backups containing residual data are purged on the rolling cycle described in section 5.
